You have full control over the emails that are sent to your customers. By default, the emails that the system uses are copied from the ones we use, with much of the text (for example, company name, customer name and ID) being dynamic.
To modify any of the templates, visit the notifications area of the control panel. This can be found by doing the following:
Login to your administrator control panel and select Billing from the top right corner.
From the System menu on the left hand side, select Settings.
Now select Notifications (within the Systems section)
Finally, select Notification Templates.
A full list of notifications will be shown, including a search functionality to help find a specific template. Simply select a template to edit it.
Editing a template
All notification templates include a HTML version and a plain text version. Simply select the version you wish to amend using the top tab, and then scroll down to the Edit button. The Preview button allows you to check your email.
Both email versions support the use of placeholders to add information relevant to that customer or subscription, for more information please read the section on Dynamic placeholders below.
Checking when the template is used
If you wish to see when a specific notification template is used, simply select the Used In tab.
For example, in the example below we can see that the welcome email below is sent out when a customer purchases one of three service plans.
Dynamic placeholders allow you to add variables to that customer or service, and the are pulled directly from the system. For example, a customer's ID can be added to an email.
When you select a template you will see a list of dynamic placeholders that you can add to the template, as well as a description and example.
To add these, simply add them into the template in the format of:
For example, the placeholder Cust_Account_ID inserts the customer's seven digit account ID into the notification. If you wanted to say to a customer:
If you call us about this matter please have to hand your customer ID, which is 1234567
You would enter:
If you call us about this matter please have to hand your customer ID, which is @@Cust_Account_ID@
You can browse through the list of placeholders, alternatively you can export them to Excel.
